A well-established multinational company is currently looking for a committed, detail-oriented, and proactive Procurement Assistant to join its Procurement Department. This opportunity is ideal for candidates with experience in procurement, purchasing, supply chain, or buyer support who are looking to further develop their career in a professional and fast-paced working environment.

The successful candidate will be responsible for supporting the daily procurement operations, coordinating with internal departments and external suppliers, ensuring timely purchasing activities, and maintaining accurate procurement documentation. You will work closely with the Material Program Manager and other cross-functional teams to ensure materials are available to support production and business operations.

This is a 3-month contract position with the possibility of extension based on business requirements and individual performance.

Job Responsibilities

As a Procurement Assistant, you will provide comprehensive administrative and operational support to the Procurement Team. Your responsibilities include but are not limited to:

  • Process Purchase Requisitions and convert them into Purchase Orders (POs) accurately using the SAP system.
  • Verify purchasing information before issuing Purchase Orders to ensure all details are complete and accurate.
  • Prepare, issue, revise, and maintain Purchase Orders according to company purchasing procedures.
  • Monitor open Purchase Orders and ensure suppliers deliver materials according to the required schedule.
  • Follow up closely with suppliers regarding shipment status, delivery schedules, order confirmations, and outstanding orders.
  • Coordinate with suppliers to resolve delivery delays, shortages, quantity discrepancies, damaged goods, and shipment-related issues.
  • Maintain accurate procurement records, purchasing documents, supplier information, quotations, and transaction history within SAP.
  • Update procurement databases and ensure all purchasing records are properly documented and filed.
  • Liaise with internal departments including Production, Planning, Warehouse, Logistics, Finance, Engineering, and Quality Assurance to support procurement activities.
  • Ensure purchased materials meet production schedules and operational requirements.
  • Assist in sourcing activities by obtaining quotations from suppliers whenever required.
  • Compare supplier quotations and support the evaluation of pricing, lead times, and delivery commitments.
  • Track supplier performance and highlight potential supply risks to the Procurement Team.
  • Assist with procurement planning during business ramp-up or periods of increased operational demand.
  • Perform manual procurement processes whenever system processing is unavailable or required.
  • Support inventory planning by monitoring material availability and communicating with relevant departments.
  • Coordinate shipment schedules and ensure procurement timelines are met.
  • Work closely with the Material Program Manager to provide procurement updates and purchasing status reports.
  • Prepare procurement reports, purchasing summaries, delivery tracking reports, and supplier status updates.
  • Ensure compliance with company procurement policies, purchasing procedures, and internal control requirements.
  • Handle procurement-related documentation with a high level of accuracy and confidentiality.
  • Respond promptly to procurement inquiries from internal stakeholders and external suppliers.
  • Maintain professional relationships with suppliers and ensure effective communication at all times.
  • Participate in process improvement initiatives to enhance procurement efficiency.
  • Support departmental projects and administrative duties whenever required.
  • Carry out any other procurement or administrative responsibilities assigned by the Procurement Manager or Management Team.

Requirements

Candidates should possess the following qualifications and attributes:

  • Experience in Procurement, Purchasing, Buyer Support, Supply Chain, Materials Planning, or related functions.
  • Hands-on experience using SAP, particularly Purchase Order (PO) processing, is highly preferred.
  • Good understanding of procurement processes, purchasing procedures, supplier management, and inventory coordination.
  • Ability to work effectively in a fast-paced and high-volume working environment.
  • Strong organizational skills with excellent attention to detail.
  • Able to prioritize multiple assignments while meeting deadlines.
  • Good analytical and problem-solving skills.
  • Good interpersonal and communication skills.
  • Comfortable communicating with suppliers regarding purchase orders, deliveries, shipment schedules, and procurement issues.
  • Able to work independently with minimum supervision as well as collaboratively within a team.
  • Proficient in Microsoft Office applications, especially Microsoft Excel, Word, and Outlook.
  • Responsible, reliable, organized, and committed to delivering high-quality work.
  • Positive working attitude with willingness to learn and adapt to changing business requirements.
