Position Details

Job Title: Customer Service Officer / Warehouse Admin

Employment Type: Full-Time

Work Location: Sunview Road, Singapore

Working Days: Monday to Friday

Working Hours: 8:15 AM – 5:30 PM

Salary Package

– Basic Salary: Up to $2,400 per month

About The Role

The Customer Service Officer / Warehouse Admin serves as an important bridge between customers, warehouse personnel, transport providers, and internal departments. The successful candidate will ensure that customer enquiries are handled promptly, shipments are properly monitored, documentation is accurate, and daily warehouse administrative operations run efficiently.

This position requires strong communication skills, excellent organizational abilities, and attention to detail. Every day presents new opportunities to coordinate deliveries, resolve customer enquiries, update shipment information, maintain documentation, and support operational excellence.

You will work closely with supervisors, warehouse staff, logistics coordinators, transport partners, and customers to ensure that every shipment is processed smoothly from start to finish.

Key Responsibilities

As a Customer Service Officer / Warehouse Admin, your responsibilities will include but are not limited to:

Customer Service

– Respond to customer enquiries through phone calls, emails, and other communication channels in a professional and timely manner.
– Provide customers with accurate updates regarding shipment status and delivery schedules.
– Handle customer requests courteously while maintaining a high level of professionalism.
– Follow up on outstanding customer enquiries until they are fully resolved.
– Build positive relationships with customers through excellent communication and quality service.
– Escalate complex issues to supervisors whenever necessary.
– Maintain a high standard of customer satisfaction in every interaction.

Shipment Coordination

– Monitor incoming and outgoing shipments.
– Track delivery schedules and update customers regularly.
– Coordinate delivery timing with transport providers.
– Liaise with warehouse personnel to ensure orders are prepared accurately.
– Monitor shipment delays and communicate updates proactively.
– Ensure all deliveries are completed according to schedule whenever possible.
– Assist in coordinating urgent deliveries when required.

Warehouse Administration

– Prepare delivery orders and shipping documentation.
– Process invoices and supporting documents.
– Verify shipment records for accuracy.
– Update inventory-related information within company systems.
– Perform accurate data entry and maintain electronic records.
– Organize physical and digital filing systems.
– Ensure administrative documents are properly stored and easily retrievable.
– Assist in generating warehouse reports and operational summaries.

Internal Coordination

– Communicate daily with warehouse teams regarding shipment readiness.
– Coordinate with internal departments to ensure smooth workflow.
– Support supervisors with operational planning.
– Liaise with logistics partners regarding delivery arrangements.
– Ensure all departments receive updated shipment information.
– Attend team meetings and contribute ideas for process improvement.

Administrative Support

– Prepare daily operational reports.
– Handle general office administration.
– Maintain customer databases.
– Assist with document scanning, photocopying, printing, and filing.
– Schedule appointments when necessary.
– Organize internal records.
– Support management with administrative projects.
– Perform any additional duties assigned by supervisors.

Daily Responsibilities

A typical working day may include:

– Checking emails and responding to customer enquiries.
– Monitoring shipment tracking systems.
– Coordinating delivery schedules.
– Communicating with warehouse personnel.
– Updating shipment records.
– Preparing invoices and delivery documents.
– Processing customer requests.

– Maintaining administrative records.

– Coordinating with transport providers.

Requirements

Applicants should possess the following qualifications:

– Minimum Diploma qualification or above.
– At least one year of relevant working experience in Customer Service, Warehouse Administration, Logistics, Supply Chain, Administration, or related fields.
