URGENT HIRING – MEDICARE OPERATIONS EXECUTIVE / ASSISTANT

We are currently seeking a dedicated, responsible, and highly organized Medicare Operations Executive / Assistant to join our growing Medical Transport Services team in Singapore. This position plays an important role in ensuring that patients receive safe, reliable, and timely non-emergency medical transportation services. As a Medicare Operations Executive / Assistant, you will be responsible for coordinating daily transport operations, managing schedules, dispatching drivers and vehicles, responding to customer enquiries, monitoring fleet readiness, ensuring compliance with healthcare regulations, and supporting the overall efficiency of medical transportation services. You will work closely with hospitals, clinics, nursing homes, healthcare professionals, drivers, attendants, and management to ensure smooth and effective daily operations.
Key Responsibilities
- Coordinate and manage daily non-emergency medical transportation services.
- Schedule transportation requests accurately and efficiently.
- Assign drivers and vehicles according to operational requirements.
- Coordinate ambulance support vehicles and wheelchair-accessible transport services.
- Ensure all transport requests are completed safely and on schedule.
- Handle incoming hotline calls professionally and respond to enquiries promptly.
- Provide accurate information regarding transport bookings and services.
- Coordinate transport arrangements with hospitals, medical centres, nursing homes, rehabilitation centres, dialysis centres, and healthcare facilities.
- Communicate effectively with patients, family members, healthcare providers, drivers, attendants, and internal departments.
- Monitor transport schedules throughout the day and make adjustments whenever necessary.
- Respond immediately to operational issues occurring on the ground.
- Resolve scheduling conflicts and transportation delays efficiently.
- Deploy as an on-site supervisor or stand-in ground staff whenever operational support is required.
- Ensure smooth coordination between all transport teams.
- Supervise daily operational activities to maintain service quality.
- Monitor driver attendance and deployment.
- Assist in preparing driver duty rosters and shift planning.
- Ensure drivers follow company procedures and operational guidelines.
- Maintain accurate records of transport schedules, dispatch logs, trip sheets, driver information, vehicle documentation, patient transport records, and operational reports.
- Prepare daily, weekly, and monthly operational summaries.
- Update operational databases and administrative records accurately.
- Monitor vehicle readiness before deployment.
- Ensure vehicles are clean, safe, roadworthy, and fully equipped before every assignment.
- Coordinate vehicle servicing, maintenance schedules, inspections, and repairs.
- Ensure compliance with all transport regulations and safety requirements.
- Monitor cleanliness of medical transport vehicles.
- Ensure all operational equipment is available and functioning properly.
- Ensure strict compliance with infection control protocols.
- Follow patient handling procedures according to healthcare standards.
- Ensure patient confidentiality is maintained at all times.
- Investigate transport incidents, accidents, complaints, and operational delays.
- Prepare detailed incident reports and recommend preventive measures.
- Escalate serious operational issues to management promptly.
- Support continuous improvement initiatives to enhance transport efficiency and patient satisfaction.
- Assist in recruiting, onboarding, and coordinating new drivers and transport attendants.
- Support orientation and operational training for new employees.
- Assist with manpower planning and deployment.
- Coordinate procurement of operational supplies including PPE, stretchers, wheelchairs, medical equipment, cleaning supplies, and transport accessories.
- Monitor inventory levels and ensure adequate stock availability.
- Work closely with management to improve workflow, productivity, and service quality.
- Ensure compliance with company Standard Operating Procedures (SOPs), healthcare regulations, licensing requirements, and transport safety standards.
- Perform additional administrative and operational duties assigned by management.
Requirements
- Must possess a valid EMT Certification OR Nursing Qualification.
- Enrolled Nurse or Registered Nurse with a valid Singapore Nursing Board (SNB) Practising Certificate is encouraged to apply.
- Previous experience in healthcare operations, logistics coordination, transportation services, ambulance services, or medical support is an advantage.
