As a Shipping Admin Assistant, you will play an important role in coordinating shipments, preparing shipping documentation, maintaining inventory records, and communicating with internal departments, customers, suppliers, and logistics partners. You will help ensure that all shipments are processed smoothly, accurately, and in compliance with company policies and relevant regulations.

Position Details

Position: Shipping Admin Assistant

Employment Type: Full-Time

Working Days: Monday to Friday (5-Day Work Week)

Working Hours: 8:30 AM – 5:30 PM

Location: Serangoon North, Singapore

Salary: Up to $2,600 per month (depending on experience and qualifications)

Availability: Immediate Hiring | Immediate Start Preferred

Job Responsibilities

The successful candidate will be responsible for supporting the day-to-day shipping and logistics operations, including but not limited to:

Shipping Documentation

– Prepare, verify, and process shipping documents including packing lists, shipping permits, invoices, delivery orders, airway bills, and other logistics-related documentation.
– Ensure all shipping documentation is accurate, complete, and prepared in accordance with company procedures and regulatory requirements.
– Verify shipment details against purchase orders and customer requirements before processing.
– Maintain proper filing systems for shipping records and supporting documents.
– Assist in updating and maintaining shipping databases and documentation records.

Shipment Coordination

– Coordinate local and international shipments with freight forwarders, courier companies, transportation providers, and warehouse personnel.
– Arrange transportation schedules and flight bookings based on operational requirements.
– Monitor shipment schedules and delivery timelines to ensure on-time delivery.
– Track shipment progress and provide timely updates to customers and internal departments.
– Follow up on delayed shipments and work closely with logistics partners to resolve issues promptly.

Administrative Support

– Perform accurate data entry into company systems.
– Prepare operational reports and shipping summaries when required.
– Handle document filing, scanning, photocopying, and record management.
– Maintain organized administrative records for future reference.
– Provide general administrative support to the logistics and operations teams.

Inventory and Warehouse Support

– Maintain accurate inventory records and stock movement reports.
– Assist with stock reconciliation and inventory updates.
– Coordinate with warehouse personnel regarding incoming and outgoing shipments.
– Support warehouse operations by ensuring documentation is completed accurately and on time.
– Monitor inventory transactions and report discrepancies where necessary.

Communication and Coordination

– Liaise with customers regarding shipment schedules, delivery updates, and shipping documentation.
– Coordinate with suppliers, freight forwarders, transport providers, and warehouse teams to ensure smooth operational flow.
– Work closely with internal departments including Sales, Customer Service, Purchasing, Finance, and Operations to meet customer requirements.
– Respond professionally to enquiries related to shipment status and documentation.

Compliance and Operational Support

– Ensure compliance with company policies and applicable shipping regulations.
– Review documents carefully to minimize errors and delays.
– Maintain confidentiality of company and customer information.
– Support internal audits and documentation reviews whenever required.
– Recommend improvements to administrative and shipping processes where appropriate.

Additional Duties

– Assist in achieving departmental operational goals.
– Support process improvement initiatives.
– Perform ad-hoc administrative and operational duties assigned by supervisors or management.
– Contribute to maintaining an efficient, organized, and productive working environment.

Requirements

Applicants should possess the following qualifications:

– Minimum 1 year of relevant working experience in Shipping Administration, Logistics Administration, Warehouse Administration, Freight Forwarding, or a similar role.
– Familiarity with shipping documentation and logistics procedures will be an advantage.
– Proficient in Microsoft Office, especially Microsoft Excel, Microsoft Word, and Outlook.
– Strong computer literacy and accurate data entry skills.
– Excellent organizational and time management skills.
– Strong attention to detail with a high level of accuracy.
– Good communication and interpersonal skills.
– Ability to work independently with minimal supervision.
– Ability to prioritize multiple tasks and meet deadlines.
– Positive attitude, strong sense of responsibility, and willingness to learn.
– Able to work effectively both independently and as part of a team.
