JOB OVERVIEW

A healthcare organization located in the West Region of Singapore is currently seeking a responsible, organized, and detail-oriented individual to join its team as a Storekeeper / Logistics Assistant.

The Storekeeper / Logistics Assistant will be responsible for supporting daily storekeeping, inventory control, pharmaceutical supply distribution, stock management, and logistics activities within a healthcare environment.

This is an important operational role because accurate inventory management is essential in ensuring that pharmaceutical products, healthcare supplies, and other necessary items are available to the relevant departments when required.

The successful candidate will work closely with the logistics and healthcare operations teams to ensure that incoming goods are properly received, checked, stored, recorded, and distributed according to established procedures.

KEY RESPONSIBILITIES

1. Receiving and Checking Deliveries

The Storekeeper / Logistics Assistant will be responsible for receiving incoming deliveries and ensuring that goods are properly checked before being accepted into the store.

Duties include:

– Receiving delivered goods from suppliers and relevant delivery personnel.
– Checking quantities, product descriptions, packaging, and delivery documentation.
– Verifying that the items received correspond with the relevant delivery orders or documents.
– Identifying discrepancies between delivered items and documentation.
– Checking products for visible damage, incorrect items, or other irregularities.
– Unloading and unpacking delivered goods carefully.
– Sorting received items according to the appropriate storage location.
– Reporting damaged, missing, incorrect, or questionable items to the relevant personnel.

2. Pharmaceutical and Healthcare Stock Distribution

The successful candidate will assist with the distribution of pharmaceutical products and healthcare supplies to various departments and sections.

Responsibilities may include:

– Preparing stock for distribution.
– Picking the correct products according to approved requests.
– Checking product quantities before distribution.
– Delivering or transferring stock to the relevant sections.
– Ensuring that stock movement is properly recorded.
– Maintaining accurate documentation for all items issued.
– Following established procedures when handling healthcare and pharmaceutical products.
– Ensuring that products are handled carefully throughout the distribution process.

Accuracy is especially important when handling healthcare-related products, as incorrect quantities or incorrect items can affect the availability of supplies for different departments.

3. Inventory Management

A major part of this position involves monitoring and maintaining inventory levels.

The Storekeeper / Logistics Assistant will:

– Monitor stock quantities on a regular basis.
– Identify products that are running low.
– Highlight inventory shortages or discrepancies.
– Assist with stock replenishment.
– Initiate or support re-ordering when required.
– Check physical inventory against system records.
– Investigate differences between physical stock and recorded inventory.
– Ensure that stock records are updated accurately.

4. FEFO STOCK MANAGEMENT

The role requires proper use of the FEFO (First-Expiry-First-Out) method.

Under the FEFO system, products with the earliest expiry dates are prioritized for use or distribution.

The successful candidate will assist with:

– Arranging stock according to expiry dates.
– Checking expiry dates regularly.
– Ensuring products with earlier expiry dates are placed appropriately.
– Identifying items that are approaching expiry.
– Reporting expired or potentially expired products.
– Separating damaged or unsuitable products according to company procedures.
– Helping reduce unnecessary stock wastage.
– Maintaining proper stock rotation within the storage area.

Candidates must be comfortable working carefully with products that may have different expiry dates, batch information, and stock quantities.

5. Repacking Healthcare Products

The Storekeeper / Logistics Assistant may also be required to assist with the repacking of certain healthcare and pharmaceutical products.

This may include:

– Repacking tablets.
– Repacking capsules.
– Repacking lotions.
– Handling other approved healthcare products according to established guidelines.
– Ensuring products are handled accurately and carefully.
– Following the relevant procedures when repacking items.
– Maintaining proper identification and documentation where required.

All repacking activities must be carried out according to the organization’s established guidelines and procedures.

6. SAP AND INVENTORY RECORDS

The successful candidate will be required to update stock transactions using SAP and other inventory management records.

Responsibilities may include:

– Recording stock received.
– Recording stock issued or distributed.
– Updating inventory transactions.
– Maintaining accurate system records.
– Checking that system information corresponds with physical inventory.
– Supporting inventory reconciliation.
– Assisting with investigation of stock discrepancies.
– Maintaining proper documentation for stock movements.

7. CYCLE COUNTS AND STOCK-TAKING

The Storekeeper / Logistics Assistant will also assist with regular inventory counting activities.

Duties may include:

– Assisting with stock reconciliation.
– Preparing stock for periodic stock-taking.
