We are currently looking for a committed and detail-oriented Part-Time Admin Assistant to join our Medical Centre located at Gul Circle, Singapore. This is an excellent opportunity for individuals who are interested in working in a professional healthcare environment while gaining valuable administrative and customer service experience.
As a Part-Time Admin Assistant, you will be an important member of our clinic operations team, providing administrative support and ensuring that patients receive efficient, professional, and friendly service throughout their visit. You will work closely with doctors, nurses, clinic managers, and other healthcare professionals to ensure the smooth day-to-day running of the medical centre.

Previous clinic experience is not required, as comprehensive on-the-job training will be provided.
Working Schedule
- Monthly roster with flexible scheduling.
- Monday to Friday: 9:00 AM – 5:30 PM.
- Saturday and Sunday: 1:00 PM – 9:00 PM.
- Minimum 3–4 working days per week.
- Candidates must be able to commit for at least 6 months.
Job Responsibilities
The successful candidate will be responsible for providing administrative and operational support to ensure the smooth running of the Medical Centre.
Your responsibilities include but are not limited to:
- Register patients accurately using the clinic management system.
- Perform patient data entry and ensure all information is complete and accurate.
- Verify patient particulars before registration.
- Schedule, confirm, and reschedule patient appointments.
- Manage patient queues and assist with crowd control during busy periods.
- Direct patients to the appropriate consultation rooms and service counters.
- Provide clear and courteous assistance to patients and visitors.
- Handle general enquiries regarding clinic services.
- Maintain accurate patient records while ensuring strict confidentiality.
- Prepare, organize, and file patient documents and medical records.
- Assist with scanning, photocopying, printing, and document management.
- Support doctors, nurses, and clinic staff with administrative requests.
- Monitor appointment schedules and update changes promptly.
- Ensure all registration forms and documentation are completed correctly.
- Perform filing and record management according to clinic procedures.
- Assist in preparing daily administrative reports when required.
- Handle incoming phone calls and transfer calls to the appropriate personnel.
- Respond professionally to patient enquiries both in person and over the telephone.
- Ensure the reception and registration counters remain clean and well organized.
- Assist in maintaining office supplies and administrative materials.
- Escalate patient concerns or operational issues to the Clinic Manager when necessary.
- Support daily clinic operations to ensure efficient patient flow.
- Perform any other administrative duties assigned by the Clinic Manager or management team.
Candidate Requirements
We are looking for candidates who possess the following qualifications and attributes:
- Able to commit for a minimum period of 6 months.
- Available to work at least 3–4 days each week.
- Basic computer literacy is essential.
- Familiar with Microsoft Office applications, especially Microsoft Excel and Microsoft Word.
- Comfortable performing data entry with a high level of accuracy.
- Good written and spoken communication skills.
- Able to communicate professionally with patients from diverse backgrounds.
- Strong organizational and time management skills.
- Responsible, punctual, and dependable.
- Positive working attitude and willingness to learn.
- Able to multitask and prioritize work effectively.
- Capable of working independently with minimal supervision.
- Able to work well in a team environment.
- Comfortable working in a fast-paced healthcare setting.
- Customer service experience is an advantage but not mandatory.
- Previous administrative or clinic experience will be an added advantage but is not required.
- Training will be provided for successful candidates.
